\"google-apps\"Here’s the problem: \u00a0<\/strong>You want to give an external person to your company a email address at your domain … it might be an accounts person (accounts@yourdomain.com) or a contractor, or a very part-time staff member.<\/p>\n

You want them to\u00a0be able\u00a0to have a professional looking email address @yourdomain.com but\u00a0you don’t want to have to pay for another Google Apps user each month just to do this.<\/p>\n

Well there’s good news … it’s actually easy to set up,\u00a0and this post will show you how.<\/p>\n

 <\/p>\n

In this example we’re going to setup accounts@yourdomain.com<\/strong> as a free forwarding email address.<\/p>\n

Part\u00a01: Add the address you want to forward as an alias to an existing user.<\/h2>\n
    \n
  1. Login to https:\/\/admin.google.com<\/a>\u00a0with your Google Apps admin account.<\/li>\n
  2. Go to Users > and select any user that is fairly permanent. (For example pick the owner of the company’s\u00a0user account).<\/li>\n
  3. Click the “Account” section<\/li>\n
  4. Scroll down to aliases and click “Add an alias”.<\/li>\n
  5. Enter the email address that you want to automatically forward to an external address. \u00a0(In my example I will add “accounts” as the alias).<\/li>\n
  6. Click “Save”<\/li>\n<\/ol>\n

    Part\u00a02: Set up a routing rule to change any email sent to that address to\u00a0forward to the external address instead<\/h2>\n
      \n
    1. In the admin menu go to Menu > Apps > Google Apps > Gmail<\/li>\n
    2. Click \u201cAdvanced Settings\u201d at the bottom of the screen.<\/li>\n
    3. Scroll down to \u201cRouting\u201d section.<\/li>\n
    4. Hover of \u201cRouting\u201d and click \u201cAdd\u201d\n
        \n
      • Insert a name for your routing rule at the top \u2013 the popup won\u2019t save until you\u2019ve done this.<\/li>\n
      • Messages to affect:<\/strong>\u00a0Tick \u201cInbound\u201d and \u201cInternal \u2013 receiving\u201d<\/li>\n
      • Envelope filter:<\/strong>\u00a0 Tick \u201cOnly affect specific envelope recipients\u201d. Choose \u201cSingle email address\u201d from the drop down\u00a0 and then insert the email address you want to automatically forward (this is the alias you setup earlier – in my case “accounts@mydomain.com”).<\/li>\n
      • For the above types of messages, do the following \u2026<\/strong> leave \u201cModify message\u201d selected in the drop down.\n
          \n
        • For \u201cHeaders\u201d section tick \u201cAdd X-Gm-Original-To header<\/span>\u201d. This enables you to see the email address that the email was sent to originally when viewing the email, instead of seeing the forwarded to email address.<\/li>\n
        • Under \u201cEnvelope recipient\u201d tick \u201cChange envelope recipient\u201d. Choose \u201cReplace recipient\u201d and then enter the new external email address you want to forward these emails automatically to.<\/li>\n<\/ul>\n<\/li>\n
        • Click \u201cSave\u201d on the popup dialogue and then \u201cSave\u201d at the bottom of the screen.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n

          And that’s it!<\/p>\n

          Overall, here is what is happening … we added the alias so that Google Apps knows about the email address. \u00a0If this alias isn’t added then Google rejects the email\u00a0with an “unknown user” error message. \u00a0Then we are using a routing rule to change the recipient of any\u00a0email that is sent to that alias address. We are routing it to the external address that we want to forward it to.<\/p>\n

          The result … you now have\u00a0the ability to add extra email addresses at your Google Apps domain for free<\/strong>.<\/p>\n

          Of course,\u00a0for any internal staff you’ll want\u00a0them to have a proper Google Apps account. \u00a0But for external contractors, accounts people, or for any other reason\u00a0that you want to apply this, you can now set up extra email addresses for free.<\/p>\n
